The Role:
We're looking for a proactive, organised Sales & Marketing Coordinator to help keep our sales and marketing activity running smoothly.
This role is ideal for someone with a strong Virtual Assistant or coordination background, someone confident with calling, emailing, managing inboxes, creating assets, supporting campaigns and keeping things organised behind the scenes.
HubSpot is one of the systems we use to execute campaigns, but this role is not about being a technical specialist. We will provide full paid training in your first month, so you'll understand our processes and tools properly.
What matters most is that you're reliable, organised, proactive, and comfortable taking ownership of recurring tasks.
What You'll Be Doing:
Your responsibilities will include a mix of structured recurring tasks and flexible support work:
• Managing inboxes (including leadership inbox support)
• Responding to enquiries professionally and efficiently
• Booking meetings and supporting discovery calls
• Following up with prospects via email and LinkedIn
• Publishing and promoting events
• Supporting podcast and webinar promotion
• Creating simple feature images and marketing assets using AI tools
• Repurposing webinar content into blogs and email content
• Cleaning and updating data in Excel and CRM systems
• Researching venues and suppliers for events
• Supporting onboarding processes and ongoing member communication
• Assisting the sales team with prospect research and outreach
This is a hands-on coordination role. You'll be trusted to manage your time well and ensure nothing falls through the cracks.
Job requirements
What We're Looking For:
Essential:
• Experience in a VA, Sales Support, Marketing Assistant or Coordinator role
• Confident making calls and sending professional follow-up emails
• Strong written English and marketing writing ability
• Comfortable creating digital assets using AI tools (e.g. paid ChatGPT with structured prompts)
• Excellent organisation and time management skills
• Proactive, self-motivated and comfortable working remotely
• Strong attention to detail
• A practical, can-do mindset
Desirable:
• Experience using HubSpot or another CRM
• Experience supporting marketing campaigns
• Experience using LinkedIn Sales Navigator or similar prospecting tools
• Degree-level education
