We're looking for a sharp, proactive personal assistant to support a hands-on executive running a small design consultancy across both US and UK markets. This is a part-time remote role starting at around 4 hours per week, with clear scope to grow. You'll act as a trusted gatekeeper — protecting your principal's time, keeping operations running smoothly, and making sure nothing falls through the cracks.

About the role

Your principal is a design professional who must stay hands-on with client projects and invest meaningful time in building relationships in a new city. Your job is to offload everything that doesn't require her direct insight or presence — so that her protected deep-work hours and networking time are never compromised.

You'll operate as part of a small, coordinated team. A team leader provides daily check-ins during onboarding and weekly support thereafter.

What you'll be doing

Calendar & inbox

  • Proactively manage and protect your principal's calendar — scheduling networking coffees, events, and follow-ups while guarding deep-work blocks

  • Inbox triage — flag priority emails, draft responses, and keep communications moving

  • Prepare a Monday agenda and Friday recap each week: what's coming up, who's being met, follow-ups due, pending tasks

Networking & business development support

  • Log and track contacts, schedule 1-2-1 meetings, and manage follow-up prompts after events and coffees

  • Research people before meetings — background on key contacts, companies, leads, and collaborators

  • Curate local industry events, mixers, and meetups worth attending

  • Draft outreach and follow-up email templates across professional categories (your principal sets the tone, you do the prep)

Research & project admin

  • Conduct targeted research on prospects, opportunities, and contacts — compiling organised summaries

  • Support with cover letter preparation and outreach campaigns

  • Assist with professional registration applications and multi-step admin processes

Travel & logistics

  • Book co-working spaces, scout venues, arrange RSVPs, and coordinate travel logistics for US and UK trips

What we're looking for

  • Proven experience as a personal or executive assistant

  • Strong awareness of US and UK English — spelling, date formats, terminology, and cultural conventions

  • Polished written communication — able to draft professional emails and outreach templates that match your principal's voice

  • Research-capable — you can find, synthesise, and present useful information quickly and cleanly

  • Proactive, not reactive — you anticipate needs, flag things before they become problems, and manage upwards appropriately

  • Comfortable with the full Microsoft 365 suite, particularly Outlook, SharePoint, OneDrive, and Planner

  • Discreet and trustworthy — you will handle confidential business and relationship information

  • Able to pick up a new environment quickly — onboarding is three days maximum

How we communicate

  • Email — primary channel for all project work, ongoing tasks, and documentation

  • WhatsApp — meeting coordination only

Onboarding and support

You'll have a structured onboarding period — up to three days to get across the business, file naming standards, communication style, and tools. Your team leader checks in with you daily during this window, then weekly once you're settled.
