Key Responsibilities

  1. Executive & Administrative Support

  • Strategic diary management – scheduling and prioritising meetings with clients, introducers, and partners.

  • Inbox management – screening emails, prioritising actions, and drafting responses.

  • Preparing and following up on meetings – collating documents, preparing agendas, and tracking actions.

  • Handling confidential correspondence and sensitive client information.

  • Managing travel arrangements, logistics, and expenses.

2. Client Relationship Coordination

  • Acting as the first point of contact for high-net-worth clients on non-advice matters.

  • Coordinating new client onboarding and annual review meetings.

  • Liaising with back-office teams to ensure smooth progress of applications and reviews.

  • Maintaining accurate and compliant CRM records (Zoho).

3. Marketing & Communication Support

  • Managing blog uploads and website content updates.

  • Coordinating email newsletters and client communications (using Zoho Campaigns, Zoho Social, WordPress, Canva, etc.).

  • Proofreading and formatting client-facing materials for brand consistency.

  • Assisting with social media management and event coordination for client and networking events.

4. Operational & Team Liaison

  • Acting as the communication bridge between adviser, operations, and external partners (e.g. solicitors, accountants).

  • Tracking key business activities and ensuring deadlines are met.

  • Providing regular updates on client work and project progress.

5. Compliance & Business Management Support

  • Supporting CPD (Continuing Professional Development) tracking and file management.

  • Ensuring compliance documentation is correctly maintained.

  • Pulling CRM and business data for review and planning sessions.

  • Experienced in supporting senior executives (ideally within financial services, wealth management, or professional services).

  • Exceptionally organised and proactive, with outstanding attention to detail.

  • Tech-savvy, with confidence using Zoho CRM, Google Workspace, and marketing platforms.

  • Emotionally intelligent, professional, and able to build strong relationships with clients and partners.

  • Discreet, trustworthy, and comfortable handling sensitive information.
